Importing Price Sheets Into RPS

SOP: Import a Price Sheet into RPS for Effective Pricing

Objective

This SOP explains how to prepare, upload, map, and verify a price sheet in RPS so product pricing is reflected correctly. Follow these steps to ensure the import completes successfully and the effective pricing displays as expected.

Key Steps

1. Navigate to the Correct Product Category 0:05

  • Open RPS and go to Menu > Product Data.

  • Select the product category the price sheet applies to (for example, Plumbing, Hardware, or Appliances).

  • You can select the category either from the menu or by clicking the category heading on the RPS screen.

  • Confirm you are working in the correct product group before importing.

2. Prepare the Price Sheet for Import 0:32

  • Review the spreadsheet before uploading it to RPS.

  • Remove any blank rows.

  • Replace any formulas with static values.

    • Highlight the formula column.

    • Copy it.

    • Use Paste Special > Values to convert formulas into numbers.

  • Make sure each row includes a model number.

  • Verify the sheet is clean and ready for import.

3. Start the Product and Pricing Import 1:13

  • In RPS, click Import Data.

  • Select Product and Pricing.

  • Confirm the correct product group is selected.

  • Choose the appropriate manufacturer for the price sheet.

  • If needed, create a new price sheet record by clicking the plus icon and entering a name.

  • Example: enter a name such as Bosch 726, then click Create.

4. Upload the Price Sheet File 2:01

  • Upload the spreadsheet into RPS.

  • Either:

    • Drag and drop the file into the upload field, or

    • Click Browse Files and locate the file manually.

  • Select the file and confirm it is ready.

  • Click Upload to send the spreadsheet into the system.

5. Map Spreadsheet Columns to RPS Fields 2:24

  • Use the column mapping section to match spreadsheet columns to RPS fields.

  • Map each field carefully so RPS knows where to place the data.

  • Common mappings include:

    • Model Number

    • Description

    • Cost

    • Pricing

    • Pricing Windows

    • UPCs

    • Dimensions

  • Select the matching field from each drop-down until the section turns green, indicating it is mapped.

6. Map the Effective Start Date 3:14

  • Locate the effective start date field in the mapping section.

  • Map the spreadsheet’s start date column to RPS.

  • Do not skip this step, because the import will not complete correctly without it.

  • Confirm the start date field is mapped before continuing.

7. Run the Import 3:23

  • After all required fields are mapped, click Import.

  • Wait for the system to finish processing the spreadsheet.

  • Review the completion screen to confirm each line has been processed and updated.

8. Review Import Results 3:35

  • Click View Results to inspect the imported data.

  • Open a model record to confirm the product information loaded correctly.

  • Check the price levels to verify values such as:

    • Cost

    • MSRP

    • Other effective pricing fields

  • Confirm the imported values match the spreadsheet.

9. Verify Effective Pricing in the Pricing View 4:00

  • Go to Menu > Price Tags and Pricing.

  • Select Effective Pricing.

  • Choose the manufacturer you uploaded.

  • Select the correct product group.

  • Review the start date and choose the date the pricing should begin.

  • Confirm the pricing displayed matches the uploaded sheet and the effective date is correct.

Cautionary Notes

  • Do not import spreadsheets with blank rows.

  • Do not leave formulas in the file; convert them to values first.

  • Ensure every row has a model number.

  • Make sure the effective start date is mapped, or the import may fail.

  • Double-check the manufacturer and product group before uploading to avoid importing into the wrong category.

Tips for Efficiency

  • Clean and validate the spreadsheet before opening the import tool.

  • Use Paste Special > Values to quickly remove formulas.

  • Confirm the correct product group and manufacturer before uploading to reduce rework.

  • After import, verify both the product record and the effective pricing view to catch issues early.

  • Save a standardized file naming convention for easier future imports.
