Using PocketScan for Receiving Serialized Inventory

Objective

To provide a clear and concise procedure for team members to effectively use the PocketScan app for receiving inventory items, ensuring accuracy in data entry and minimizing errors during the receiving process.

Key Steps

  1. Preparation

    • Ensure that the boxes are coming through the designated receiving area (back door).

    • Confirm that the inventory tags have been created from the purchase order.

  2. Launch PocketScan

    • Open the PocketScan app on your device (iPhone).

    • Select the "Receiving" option on the app’s main screen.

  3. Set Location

    • Confirm that the PocketScan app is set to the correct location (e.g., Sewell).

    • If necessary, select the specific warehouse location where the products will be received (e.g., aisle one).

  4. Select Serial Number Status

    • Choose the appropriate status for the items being received (e.g., box stock, scratch and dent, used).

  5. Scan Inventory ID Tag

    • Use the scanner to scan the inventory ID tag associated with the items.

  6. Scan Manufacturer’s Serial Number

    • Position the scanner over the manufacturer's serial number and scan it.

  7. Scan Manufacturer’s Run Number (if applicable)

    • If running a service department, scan the manufacturer's run number.

    • If not running a service department, you may skip this step and proceed with the model number on the purchase order.

  8. Repeat Scanning for Additional Items

    • If there are multiple items on the purchase order, continue scanning the next inventory ID, serial number, and run number as needed.

  9. Update Purchase Order Report

    • Once all items are scanned, update the screen to reflect the received items.

    • Click on "Fully Scan" to confirm that all items have been received.

  10. Close Purchase Order

    • Navigate to the purchase order view.

    • Click on "Close" to finalize and close the purchase order.

Cautionary Notes

  • Always ensure that the correct serial number and run number (if applicable) are scanned to avoid discrepancies.

  • Double-check the location setting in the PocketScan app before scanning to ensure items are received in the correct area.

  • If you are unsure about any step, consult a supervisor before proceeding.

Tips for Efficiency

  • Familiarize yourself with the PocketScan app interface before starting the receiving process to reduce time spent navigating.

  • Keep the inventory tags organized and easily accessible to streamline the scanning process.

  • If receiving a large shipment, consider breaking it down into smaller batches to maintain accuracy and reduce the likelihood of errors.

  • Regularly update and maintain the PocketScan app to ensure it functions correctly and efficiently.
