SOP: Purchase Order Receiving Process

Objective

The objective of this SOP is to guide team members on how to effectively receive a purchase order, add serial numbers and run numbers, and print necessary documentation.

Key Steps

  1. Access Purchase Order Report: Start by opening the Purchase Order Report to find the purchase order that needs to be received.

  2. Verify Purchase Order: Ensure that the purchase order has been ordered by filtering for items in green.

  3. Receive Purchase Order: Click on the "Receive" button either from the Purchase Order Report or within the Purchase Order itself.

  4. Enter Item Details: Manually enter the manufacturer's serial number and run number, or use a scanner for efficiency.

  5. Update Warehouse Location: Specify the warehouse location where the items will be stored.

  6. Enter Quantity: Input the quantity being received for each item.

  7. Assign Serial Numbers: Mandatory step to input accurate serial numbers for tracking purposes.

  8. Optional Steps: Add run numbers and apply tags if necessary.

  9. Finalize Purchase Order: Review all information, then hit the "Finalize" button to close the purchase order.

  10. Print Documentation: Use the print icon to generate a copy of the received purchase order and serial number list.

Cautionary Notes

  • Ensure accurate input of serial numbers for tracking and cost purposes.

  • Close purchase orders once fully received to avoid discrepancies in reports.

  • Double-check all information before finalizing the purchase order.

Tips for Efficiency

  • Utilize scanners or inventory management apps for quicker data entry.

  • Filter items by brand, ETA, or location to streamline the receiving process.

  • Apply tags for easy tracking and identification of special items.

  • Regularly update warehouse locations for efficient inventory management.
