Inventory and Custom Product Obsolescence

When an Inventory Model is marked as obsolete, users can now choose to also mark its associated Custom Product as obsolete when the product is still active. This keeps related product statuses aligned and reduces the need to update them separately. Once marked obsolete, the model and custom product clearly reflect their updated status.

SOP: Mark an Inventory Model and Its Associated Custom Product as Obsolete

Objective

This SOP explains how to mark an inventory model as obsolete and, when prompted, also mark the linked custom product as obsolete. Following this process keeps inventory and product statuses aligned and reduces manual follow-up work.

Key Steps

1. Open the Inventory Model Record 0:18

  • Go to Model Inventory.

  • Locate the inventory model you need to obsolete.

  • Click the black triangle to expand the model details.

2. Enter Edit Mode 0:26

  • Select Edit on the expanded model record.

  • Find the Obsolete Date field.

  • Click into the date field to begin the obsolescence process.

3. Set the Obsolete Date 0:37

  • Choose the date the model should be marked obsolete.

  • Save the record after selecting the date.

  • Be prepared for a confirmation prompt asking whether the associated custom product should also be marked obsolete.

4. Confirm Obsolescence for the Associated Custom Product 0:48

  • When the pop-up appears, review the message carefully.

  • Select Yes if the linked custom product should also be made obsolete.

  • This keeps the inventory model and custom product statuses synchronized.

5. Verify the Update Was Applied 0:59

  • Confirm the model now displays in red font, indicating it has been obsoleted.

  • Click the model number to open the product information page.

  • Verify the product page shows an obsolete watermark across the front page if the custom product was also marked obsolete.

Cautionary Notes

  • Only use this process when the inventory model is truly discontinued or no longer active.

  • Review the confirmation prompt before selecting Yes to avoid obsoleting a custom product unintentionally.

  • If the associated custom product should remain active, do not confirm the prompt to obsolete it.

  • Ensure the obsolete date entered is correct before saving, since it triggers the status update.

Tips for Efficiency

  • Obsolete the inventory model and linked custom product at the same time to reduce duplicate work.

  • Use the confirmation prompt as a checkpoint to keep related records in sync.

  • After saving, quickly verify the red font and watermark to confirm the update was successful.

  • Standardize the obsolete date entry process so team members apply the same workflow every time.
