The following video describes how to process a check promised from a customer credit by accessing the AR Aging page.
SOP: Issue a Check for a Customer Credit Balance
Objective
Use this procedure when a customer requests cash instead of keeping a stored credit. The process records the credit in AR Aging, then generates and saves the check through Point of Sale reports.
Key Steps
1. Locate the customer in AR Aging 0:13
Navigate to Accounts Receivable > AR Aging.
Find the customer who has the credit balance.
If needed, use the search field to locate the customer quickly.
Confirm you are working on the correct customer account before proceeding.
2. Open the account and identify the credit invoice 0:31
Click the black arrow to open the customer’s Account Information page.
Locate the invoice with the negative balance; this indicates the stored credit.
Verify the amount before applying any payment action.
3. Apply the credit as a promised check payment 0:42
Click the pay icon (dollar sign) to start the promise check process.
Enter the negative credit amount exactly as shown on the invoice.
Press Enter to load the invoice/payment line.
Re-enter the negative amount if needed, then click Apply.
4. Select check payment and process it 1:07
Click Check as the payment method.
Confirm that Promised is already checked.
Select the correct location.
Click Process Payment to save the promised check record.
5. Find the unpaid check promise in Point of Sale reports 1:17
Go to Point of Sale and click Reports.
Open the Payment tab.
Use the Advanced Filter and select Check Promise Unpaid.
Locate the customer and verify the credit amount appears correctly in the list.
6. Cut the check and save the remittance note 1:42
Find the customer entry in the unpaid check promise list.
Click Cut Check.
Enter a remittance note if required.
Click Save QuickPay to finalize the check.
Cautionary Notes
Verify the customer and credit amount carefully before applying payment or cutting the check.
Use the negative balance/invoice amount exactly as displayed to avoid posting errors.
Make sure the correct location is selected before processing payment.
Only use Cut Check after confirming the item appears under Check Promise Unpaid.

Confirm the invoice has a negative balance before opening the payment workflow.
Keep the customer’s credit amount handy so you can enter it without rechecking multiple screens.
