Understanding AR Deposits in Home Source Systems

Creating an AR Deposit

  1. Navigate to the menu, then to accounts receivable, and finally to AR aging.

  2. Use the search bar to find the customer you want to add the deposit to.

  3. Ensure the customer is set up as an AR customer; if not, create an AR account first.

  4. Click on the money action button next to the customer you want to add the AR deposit to.

  5. Enter the amount for the AR deposit and hit the blue enter button.

  6. The total AR deposit balance will be displayed, and the deposit will remain until applied to an order.

Applying an AR Deposit to an Order

  1. After creating the order, click on the Take Payment button.

  2. In the Payment Window Method window, go to the Accounts Receivable tab.

  3. Click on Use Current Customer to add the customer's account information.

  4. If there's an available open deposit, it will be shown; click on pay with open deposit to use the credit.

  5. Enter the dollar amount to apply the previous credit to the order.

Alternative Method for Applying an AR Deposit

  1. Navigate to accounts receivable and then to the AR aging section.

  2. Use the search feature to find the AR account name.

  3. Click on the Pay icon at the end of the line to open the window.

  4. Enter zero in the payment amount and hit the blue enter button.

  5. Enter the amount to use from the available funds and hit the blue apply button.

  6. Go to the cash tab in the payment method window, select the location and payment date, then process the payment.

Adjusting AR Deposits

  1. If a total deposit was created by mistake, enter a negative payment in the same area.

  2. Do not apply the payment to an invoice, use the same date and payment type, and process the payment to lower the deposit amount in the AR customer account.
