How to Print Customer Statements from AR Aging Screen

Overview

The Print Statement feature in the AR Aging screen allows you to generate an individual customer's Accounts Receivable statement on demand. In addition to printing the statement itself, you can choose to include the invoices associated with that statement, all current open invoices, and an Accounts Receivable Aging report.

This feature is useful when a customer wants to understand:

  • Their current balance.

  • Which invoices make up the balance.

  • Their account status.

  • Any outstanding invoices that may not have appeared on their last statement.


Access the AR Aging Screen

  1. Navigate to Accounts Receivable.

  2. Open AR Aging.

  3. Search for and select the customer.

The customer's current AR information, including outstanding invoices and balances, will be displayed.


Review the Customer's Account

Before printing a statement, review the customer's account information.

You can view details such as:

  • Current Balance Due

  • Invoice Number(s)

  • Original Order Number

  • Payment Terms

  • Outstanding Invoice Amount(s)

For example, if a customer asks, "What do I owe?", you can quickly verify the balance. If they then ask, "What do I owe it for?", printing a statement provides the supporting documentation.


Print a Customer Statement

To generate a statement:

  1. Select the Print icon.

  2. Choose Statement.

A list of available customer statements will appear.

Each statement includes information such as:

  • Statement Date

  • Due Date

  • Previous Statement Balance

  • Current Balance Due

  • Whether invoice details are available

Select the statement you want to print.


Choose Print Options

After selecting the statement, you can choose which additional documents to include.

Include Statement Invoices

Select Print Statement Invoices to include only the invoices associated with the selected statement.

This option provides customers with the invoices that were included when the statement was originally generated.

Note: If a statement contains only finance charges or interest and no new invoices, invoice details may not be available.


Include All Open Invoices

Select Print All Open Invoices to include every currently outstanding invoice, even if those invoices were created after the selected statement.

This option is useful when:

  • Additional invoices have been created since the last statement.

  • You want to provide the customer with the most up-to-date picture of their account.

  • You want to explain why the customer's current balance differs from the balance shown on the statement.


Include the AR Aging Report

You can also include the customer's current AR Aging report.

The Aging report reflects the customer's account status at the time the report is generated and includes:

  • Current balances

  • Past due balances

  • Aging buckets

  • Overall account status

Including the Aging report helps customers understand their current receivable balance, even if additional activity has occurred since the statement date.


Email or Print the Statement

Before generating the documents, you can choose how to deliver them.

Print

Select Print to generate paper copies.

Email

Select Email to send the statement electronically.

If the customer has an email address stored in their account, it will automatically populate the email recipient field. You can review or update the address before sending.


Understand the Printed Documents

Depending on the options selected, the print package may include:

  1. The customer statement

  2. Statement invoices

  3. All current open invoices

  4. The current AR Aging report

Because multiple documents may be generated, printing may take a few moments.


Why an Invoice May Print More Than Once

You may notice the same invoice appears more than once in the print package.

This is expected behavior when:

  • Print Statement Invoices is selected, and

  • Print All Open Invoices is also selected.

If an invoice is both:

  • Part of the selected statement, and

  • Still an open invoice,

it will appear in both sections.

This does not indicate duplicate invoices—it simply reflects that the invoice belongs to both document groups.


When to Use Each Print Option

Statement Only

Customer wants a copy of a previous statement.

Statement + Statement Invoices

Customer wants to see the invoices included with the statement.

Statement + Open Invoices

Additional invoices have been created since the statement date.

Statement + AR Aging

Customer wants to review their current account status and outstanding balances.

Statement + All Options

Customer needs a complete picture of their account, including historical statement information and current activity.


Best Practices

  • Review the customer's account before selecting a statement.

  • Include Statement Invoices when customers request supporting documentation for charges.

  • Include Open Invoices when recent activity has occurred after the statement date.

  • Include the AR Aging report when discussing current balances, payment status, or credit limits.

  • Email statements whenever possible for faster customer delivery and record retention.
