How to Print a Payment Receipt from the AR Aging Screen

Overview

The Print Receipt option within the AR Aging screen allows you to reprint a customer's payment receipt after a payment has been processed.

This feature is useful when:

  • A receipt was not printed at the time the payment was received.

  • A customer requests another copy of their payment receipt.

  • You need to provide proof of payment after the original transaction has been completed.

The receipt generated from the AR Aging screen is the same receipt that is available immediately after a payment is processed.


Access the AR Aging Screen

  1. Navigate to Accounts Receivable.

  2. Open AR Aging.

  3. Locate and select the customer whose payment receipt you want to print.

Tip: Customers with a zero balance may still have payment history available, making them good candidates when searching for previously processed payments.


Review the Customer's Payment History

If the customer has no open invoices, you can still review their previous payments.

  1. Click Payment History.

  2. Review the list of payments made by the customer.

The Payment History window displays information such as:

  • Payment Amount

  • Payment Date

  • Payment Time

  • Payment ID

If applicable, you can also view the Open Deposits tab to review any remaining customer credits or deposits.


Review Payment Details (Optional)

If additional information is needed before printing:

  1. Select the Payment ID.

  2. Review the payment details.

Depending on the payment, you may see information such as:

  • Payment method (Check, Cash, Credit Card, etc.)

  • Payment amount

  • Payment date

  • Additional transaction details

Although the payment can be printed from this screen, you can also generate the receipt directly from the AR Aging screen without opening the payment record.


Print a Payment Receipt

To print the receipt directly from AR Aging:

  1. Locate the customer.

  2. Select the Print icon.

  3. Choose Receipt.

The system generates the payment receipt and displays it on the screen.

From there, you can:

  • Print the receipt

  • Save it as a PDF (if supported by your print settings)

  • Provide a copy to the customer


Receipt Contents

The printed receipt includes payment information such as:

  • Customer information

  • Payment amount

  • Payment date

  • Payment method

  • Payment reference details (when applicable)

The receipt is identical to the one presented immediately after the original payment was processed.


When to Use This Feature

Reprinting a payment receipt is helpful when:

  • The original receipt was not printed.

  • A customer requests another copy.

  • You need to verify a payment after the transaction has been completed.

  • A customer needs documentation for their records.


Best Practices

  • Use Payment History to confirm you have selected the correct payment before printing.

  • Review payment details if multiple payments exist for the same customer.

  • Reprint receipts directly from AR Aging to avoid searching through individual payment records.

  • Provide customers with a printed or electronic copy whenever proof of payment is requested.
