How to Use the AR Aging Screen to Find Customers and Filter Accounts

Overview

The AR Aging screen provides a centralized view of your Accounts Receivable customers and their outstanding balances. In addition to viewing current balances, you can search for customers, filter account information, review historical balances as of a specific date, and analyze your Accounts Receivable totals.

This screen is designed to help you quickly locate customer accounts, review outstanding invoices, and monitor your organization's Accounts Receivable activity.


Access the AR Aging Screen

  1. Navigate to Menu.

  2. Select Accounts Receivable.

  3. Choose AR Aging.

By default, the AR Aging screen displays customers who currently have:

  • An outstanding balance, or

  • A past due balance.

Customers with a zero balance are hidden by default.


Display All Customers

To include customers with no outstanding balance:

  1. Locate the Balance Due filter.

  2. Clear (uncheck) the filter.

The customer list will now display:

  • Customers with balances due

  • Customers with past due balances

  • Customers with zero balances

This is helpful when you need to locate a customer regardless of their current account status.


Search for a Customer

Use the Search box to quickly locate customer accounts.

  1. Enter a search term.

  2. Press Enter.

The search looks across multiple fields, allowing you to search by information such as:

  • Customer name

  • Partial customer name

  • Other searchable account information

Example

Searching for "Mark" may return results such as:

  • Mark Bensky

  • Mark Jones

  • Mark Smith

  • Mark Testing

This flexible search makes it easy to locate customers even if you only know part of their name.


Understand the Account Totals

At the top of the AR Aging screen, summary totals are displayed.

These include:

  • Total Balance Due – Total outstanding Accounts Receivable balance.

  • Total Deposits – Total unapplied customer deposits.

  • Net AR Balance – Overall Accounts Receivable balance after considering deposits.

These totals automatically update based on the search criteria and filters you apply.

Why is this useful?

If multiple customer accounts match your search, the totals provide a quick summary of the combined balances without requiring manual calculations.

This can also assist when reviewing overall Accounts Receivable balances or reconciling customer accounts.


Use Advanced Filters

For more detailed searches, select the Advanced Filters option.

You can narrow your results using filters such as:

  • Customer Type

  • Salesperson or Sales Associate

  • Store or Location

  • Product Model Number

  • Product Description

  • Interest-only invoices

  • Deleted customer accounts

These filters help you locate very specific Accounts Receivable records.


Search Historical AR Balances

One of the most powerful features of the AR Aging screen is the ability to view Accounts Receivable balances as of a specific date.

To do this:

  1. Open the Invoices As Of (or similar) date filter.

  2. Select the desired historical date.

The system recalculates the AR information based on the selected date.

For example, selecting October 1 displays:

  • Customer balances as of October 1

  • Deposits as of October 1

  • Net AR balance as of October 1

The customer list and summary totals automatically update to reflect the selected point in time.


Review Historical Customer Information

After selecting an As Of date, you can still drill into individual customer accounts.

This allows you to review:

  • Historical balances

  • Deposits

  • Outstanding invoices

  • Customer account details

exactly as they existed on the selected date.

This feature is particularly valuable for researching historical account activity or responding to audit requests.


Why Use Historical Filters?

Viewing historical AR balances can help with:

  • Financial reporting

  • Month-end or year-end reconciliation

  • Audit preparation

  • Bank reporting

  • Loan covenant reporting

  • Researching customer account history

Rather than relying on reports generated at a specific point in time, you can recreate your Accounts Receivable position using the historical date filter whenever needed.


Best Practices

  • Leave the Balance Due filter enabled during daily collections to focus on customers with outstanding balances.

  • Clear the filter when searching for customers with paid or inactive accounts.

  • Use the search box for quick customer lookups.

  • Use Advanced Filters when searching by salesperson, location, product, or customer type.

  • Review the summary totals after filtering to better understand the overall impact of your search.

  • Use the As Of date filter whenever historical Accounts Receivable balances are required.
