The following video discusses navigating and utilizing the payment reports feature to track and manage various types of payments, open deposits, and individual payment details within the system.
Payment Reports Overview
Key Steps:
Access Payment Reports: Log in to the system and navigate to the payment reports section.
View Default Information: By default, the system will display information for the past 30 days, including different types of payments (cash, check, credit card, accounts receivable, AR credits) and the total payments.
Understand Total Payments: Note that the total payments displayed do not represent cash in the bank but rather a collection of all payments received.
Check Door Open Deposits: Monitor the door open deposits section to track the amount of money held as open deposits for orders that have been partially paid but not yet delivered.
Review Individual Payments: Utilize the table at the bottom of the screen to view detailed information about each individual payment received during the month.
Filter Payment Details: Use advanced filters to refine the displayed information by criteria such as salesperson, credit card type, payment entry method, store location, and payment destination (sales or AR).
Filter by Payment Type: Click on specific payment types (e.g., cash, check) to view only payments of that type in the grid at the bottom.
Access Order Details: Click on individual order numbers within the payment table to view specific order details, such as refunds or adjustments affecting payment amounts.
Cautionary Notes:
Ensure that the total payments and open deposits are regularly reconciled with actual financial records to maintain accuracy.
Exercise caution when processing refunds or adjustments to avoid errors in payment reporting.
Tips for Efficiency:
Familiarize yourself with the different filters available to quickly access specific payment information.
Regularly review payment reports to stay informed about the financial status of the business and address any discrepancies promptly.
By following these steps, you will be able to effectively utilize the payment reports feature to track and manage payments within the system.
