Using the Install, Quote and Service options in PocketScan
Objective
To provide a clear and concise guide for team members on how to effectively use the Install, Service, and Quote options in the PocketScan app. This will ensure accurate data entry, minimize errors, and enhance productivity during service calls, site visits, and quotes.
Key Steps
Open PocketScan App
Launch the PocketScan application on your device.
Select Option
Choose the appropriate option based on your task:
Install
Service
Quote
Access the Order
Tap on the relevant service order, sales order, or quote to bring up the details.
Check-In with Customer
Locate the scan bar in the upper right corner of the screen.
Use the camera to scan the service order.
Confirm the customer’s name appears correctly.
Add Assets or Notes
Tap on the customer’s name to access the options for adding assets or notes.
To add an asset:
Click the "Asset" button.
Choose from options: customer signature, photo, or audio recording.
For photos:
Select the camera option.
Capture the required image.
Choose to retake or use the photo.
Click "Done" to attach.
To add notes:
Select "Add Note."
Type your notes in the provided field.
Click "Save."
Customer Signature
If needed, select "Add Asset" again to have the customer sign.
Type the customer’s name and confirm the acceptance of the install.
Check-Out Process
Tap on the customer’s name again.
Select "Check Out."
Mark the items you wish to send.
Click "Send" to finalize the service order.
Verify Updates
Return to the service ticket.
Refresh the ticket to view updates.
Check for added notes and assets by selecting "View Assets."
Cautionary Notes
Ensure that all information is accurate before sending to avoid confusion.
Double-check that the correct customer is selected to prevent data entry errors.
Always confirm that the photo or signature is clear and legible.
Tips for Efficiency
