Extended Service Contract Reporting Tab Management

Objective:

The objective of this SOP is to guide team members on how to effectively manage the Extended Service Contract (ESC) Reporting tab in the Point of Sale system to track and offer extended warranties to customers, ultimately increasing sales volume and profit margin.

Key Steps:

  1. Access the ESC Reporting Tab:

    • Navigate to the menu and select Point of Sale.

    • Click on the ESC tab in the Reporting section.

  2. Utilize Advanced Filters:

    • Filter by brand, product group, category, vendor, serial number status, and salesperson.

    • Set date ranges using preset filters like month to date, year to date, and today.

  3. View Service Contracts:

    • Click on the Extended Service Contract button to view all sold service contracts within the set filters.

    • Review information on sales orders and attached contracts.

  4. Identify ESC Opportunities:

    • Use the ESC Opportunity button to identify sales without extended warranties.

    • Consider following up with customers post-sale to offer extended warranties.

  5. Send ESC Offers:

    • Use the Share Letter button to email customers offering extended warranties.

    • Customize the email with product details and pricing options.

    • Consider bulk email options for efficiency.

  6. Print Letters:

    • Use the Print Letters button to generate hard copy letters for mailing.

    • Review and print the PDF file with letter details for mailing.

Cautionary Notes:

  • Ensure to check with the extended warranty company for the allowable time period to offer extended warranties post-sale.

  • Verify the accuracy of information inputted, especially when adding verification numbers for contracts.

Tips for Efficiency:

  • Regularly review the ESC Reporting tab to identify sales opportunities.

  • Utilize bulk email options for sending ESC offers to multiple customers efficiently.

  • Keep track of follow-ups and monitor response rates to optimize sales strategies.
