Adding Product Information, Notes, and Assets in Leads

In this video we will be showing you how to enter Products, Notes and Assets.

When you create a lead, there are several types of information you can add — ranging from general categories to specific model numbers, notes, and customer-supplied documents. You don't need all of this information right away; you can add it incrementally as you learn more from your customer.

1. Add General Information as You Talk to Your Customer

As you're speaking with your customer, start capturing whatever level of detail they've given you:

  • Categories – General product groupings you discussed.

  • Brands – If the conversation only got as far as brand names without specific models, note the brands mentioned.

You don't need exact model numbers to begin filling in this information — start with whatever your customer has shared.

2. Add Specific Model Numbers

If you do have specific model numbers, you can add them directly:

  1. Click the Add Items button.

  2. Narrow down your choices the same way you would in the RPS program.

  3. Search for the model number using the search bar, or browse to find the item you need.

  4. Click the item to select it.

Recommended Additional Items

When you select an item, the system will suggest related items you may want to add, such as:

  • Delivery charges

  • Accessories (e.g., a heater kit)

You can choose to add these related items, or click Skip if you don't want to add any additional items.

Once you've selected your items:

  1. Click Add Items to confirm your selections.

  2. Click the blue Done button when finished.

Your selected items will now be added to the lead.

3. Add Notes

Use the Notes section to record any additional details your customer shares, such as:

  • Special delivery requirements (e.g., a third-floor delivery that may require a crane).

  • Working arrangements (e.g., the customer is working with a designer who will supply all specs).

Recording this information ensures you have what you need for accurate follow-up with the customer later.

4. Add Documents or Plans

If your customer has shared plans or other documents with you, you can attach them to the lead:

  1. Click the Add Document button.

  2. Locate the file on your desktop (or wherever it's saved).

  3. Click Update.

  4. Click Save Assets to attach the file to the lead.

All documents and plans will now live with the lead record.

5. Save Your Work

Once you've entered all the information discussed with your customer:

  • Click the Save button to ensure everything is recorded.

Important: Information will not be saved to the lead until you click Save.
