Streamlining Deliveries with Zone Scheduling

Zone Scheduling now helps users manage delivery dates, trucks, and time windows based on the customer’s ZIP code and assigned delivery zone. The scheduler automatically identifies the trucks servicing the zone and displays available slots and stops, allowing users to select a delivery date and assign a truck and time window. Users can also view whether a delivery is unassigned, assigned without a time, or has a time selected without a truck.

SOP: Zone Scheduling Delivery Trucks and Stops from an Order

Objective

This SOP explains how to use Zone Scheduling to assign delivery dates, trucks, and time windows from an order. It also covers required permissions, how to modify or reset scheduled time windows, and how to remove a scheduled delivery when needed.

Key Steps

1. Confirm Required Permissions 1:17

  • Before scheduling deliveries, verify the user has the correct permissions.

  • In the menu, go to Users > Permissions.

  • Enable Scheduler, Create and Edit under Scheduler permissions.

  • Enable Scheduled Trucks under Sales permissions.

  • Click Save to apply the permission changes.

  • Once saved, the user can schedule orders to trucks from an order.

2. Open the Delivery Scheduler from the Order 0:22

  • Open the order you want to schedule.

  • Click the Estimated Delivery Date drop-down.

  • Select On Date to open the delivery scheduler.

  • The scheduler defaults to a monthly view of scheduled deliveries.

  • Use the view options to switch between:

    • Month view

    • Week view

    • Day view

3. Review Availability and Scheduling Status 0:35

  • In the monthly view, review which days are available for scheduling.

  • Pink days are in the past and cannot be scheduled.

  • Available days display the total stops and slots available.

  • Days without total stops and slots do not have delivery availability.

  • Scheduled days show a colored assignment designation.

  • Understand the status labels:

    • Unassigned = no truck or time selected yet

    • Assigned = a truck and time have been selected

    • No time = a delivery time has not been defined

4. Select the Delivery Day and View Available Trucks 2:01

  • From the scheduler, choose the desired delivery date.

  • The system opens the day view for that date.

  • Review the trucks available in the zone.

  • Check the highlighted hours to see which delivery times are available.

  • Confirm the truck and time window you want before scheduling.

5. Assign a Time Window to a Truck 2:26

  • To schedule a delivery for a specific truck and time window:

    • Click the starting time, such as 9:00 a.m.

    • Drag the time window to the ending time, such as 11:00 a.m.

  • To move the scheduled delivery to a different truck or time:

    • Left-click the time window

    • Drag it to the new truck or hour

  • Make sure the time window matches the intended delivery slot before saving.

6. Schedule Without a Time or Without a Truck 2:54

  • If the delivery needs a truck but no specific time:

    • Click the No Time field under the truck.

  • If the delivery should remain scheduled for the day but without a truck or time:

    • Click No Truck / Unassigned.

  • Use these options when the order needs to be held in the schedule but not fully assigned yet.

7. Save the Scheduled Delivery 3:13

  • After placing the delivery on the calendar, click Schedule.

  • Return to the order to confirm the delivery date and truck assignment.

  • Verify the order now shows the scheduled date and assigned truck.

  • Save the order so the schedule is fully applied.

  • After saving, the system updates the day’s available slots and stops.

8. Verify Schedule Updates in the Calendar 3:43

  • After saving the order, return to the month view.

  • Confirm the schedule counts update correctly.

  • Check that the number of available slots and stops reflects the new assignment.

  • Verify the assigned truck appears on the correct day.

  • Use this step to confirm the schedule was successfully committed.

9. Reset a Modified Time Window if Needed 3:57

  • If a time window was moved to the wrong truck or time, use the red reset button.

  • Click the reset button to return the time slot to its original position.

  • Use this when a schedule change was made in error and needs to be undone quickly.

10. Remove a Scheduled Delivery from the Scheduler 4:17

  • There is no delete button in the scheduler for removing time windows.

  • To remove a scheduled delivery:

    • Go back to the order

    • Change the delivery option from On Date to ASAP

    • Save the order

  • This removes the scheduled time window from the zone scheduler.

Cautionary Notes

  • Do not attempt to schedule past dates; pink days are unavailable.

  • Save permissions before scheduling or the scheduler may not be accessible.

  • Always save the order after scheduling so the truck, slots, and stops update correctly.

  • There is no delete button in the scheduler; use the order to change the delivery back to ASAP if you need to remove it.

  • Be careful when dragging time windows to avoid assigning the delivery to the wrong truck or hour.

Tips for Efficiency

  • Use the month view to quickly identify open delivery days, then switch to day view to assign the exact truck and time.

  • Review the status labels first so you can quickly identify unassigned or incomplete stops.

  • Confirm the customer’s zip code is correct, since the system automatically pulls the delivery zone and truck based on it.

  • Use No Time or No Truck / Unassigned only when the delivery is intentionally incomplete.

  • If you make a mistake, use the reset button before saving to avoid rework.
