Schedules can be viewed by month, week, or day, making it easier to manage delivery availability and ensure trucks are scheduled appropriately for each zone.
Zone Scheduler SOP: Create, Edit, Delete, and Activate Zone Schedules
Objective
This SOP explains how to set up and manage Zone Schedules so trucks are only offered for delivery when they have availability for a specific zone. It also covers how to edit or delete schedules and activate the scheduler for use in order scheduling.
Key Steps
1. Understand what Zone Scheduler controls 0:00
Use Zone Scheduler to define which trucks can deliver to each zone and when they are available.
Confirm that delivery availability matches:
Delivery zones
Truck schedules
Available capacity
This prevents trucks from being scheduled in zones where they have no availability.
2. Open the Zone Schedule screen 0:28
Navigate to Scheduler.
Go to Settings.
Select the Zone Schedule tab.
Choose the view you need:
Weekly view
Day view
Use the view that best helps you review truck availability by zone.
3. Add a new zone schedule 1:08
Click + Add Schedule.
Enter the schedule details in the form that appears.
Complete each field carefully before saving.
4. Select the truck and capacity details 1:18
Choose the truck you want to schedule.
Enter the number of slots available.
Enter the number of stops available.
Verify the truck capacity matches the expected delivery workload.
5. Assign the zone and delivery settings 1:31
Select the zone from the dropdown list.
Choose the appropriate delivery type.
If needed, select a sales tag for tracking or reporting.
Make sure the selected zone and delivery type match the intended service area.
6. Set the recurrence pattern 2:00
Choose how often the schedule repeats:
Does not repeat
Repeats every week
Repeats every other week
Repeats monthly
If using a weekly recurrence, select the specific days of the week that apply.
Confirm the recurrence matches the operational schedule for that truck and zone.
7. Define the schedule date range 2:23
Set the start date.
The system defaults to today’s date.
Set the end date.
The system defaults to one year from today.
Adjust either date as needed by clicking into the date fields.
Review the date range to ensure the schedule runs for the correct period.
8. Save and verify the new schedule 2:44
Click Save after all fields are completed.
Confirm the schedule appears in the day view.
Verify the zone schedule was added correctly and displays the expected truck and zone information.
9. Edit an existing zone schedule 3:03
Go to the relevant month view.
Click the three dots under the day you want to open.
Select the day to view its schedule.
Click the truck you want to edit.
Update the schedule details as needed, such as:
Days of the week
Start and end dates
Delivery types
Slots
Stops
Choose whether the change applies to:
This occurrence
All remaining occurrences
Cautionary Notes
Be careful when editing recurring schedules: selecting all remaining occurrences changes every future instance, not just the current day.
Be careful when deleting schedules: deletion options may remove only one occurrence, all future occurrences, or all occurrences including past dates.
Confirm the correct truck, zone, and delivery type before saving to avoid scheduling errors.
Set the activation date correctly before allowing orders to use zone scheduling.
Tips for Efficiency
Use the day view when you need to quickly confirm availability for a specific date.
Use the month view to jump to a future or past date faster.
Use the filters to narrow schedules by truck, zone, delivery type, or sales tag.
Review capacity fields carefully so the number of slots and stops aligns with actual delivery limits.
Activate zone scheduling only after all required schedules are entered and verified.
