Adding Status-Based Suffixes to Inventory Models

Updated over a month ago

In this video, we walk you through the steps to add suffixes to inventory models based on their status. This process helps provide immediate context about each model, making it easier to identify them at a glance. We detail how to navigate to the Inventory settings and check the necessary options before adding suffixes.

Adding Suffixes to Inventory Models

Key Steps

  1. Access Inventory Settings:

    • Navigate to the Inventory section.

    • Click on Settings.

    • Select the General tab.

  2. Enable Prompt on Copy:

    • Locate the Prompt on Copy checkbox.

    • Ensure this box is checked to display a confirmation message when updating inventory model status.

    • Click Save Changes.

  3. Add Inventory Model Status:

    • Go to Inventory Model Status.

    • Click on Plus Inventory Model Status.

    • Enter the name for the new status (e.g., "Used").

    • Define the suffix for this status (e.g., "USD" for Used).

    • Click Update to save the new status.

  4. Add Suffix to a Model:

    • Go to the Menu, select Inventory, and click on Model Inventory.

    • Identify the model you wish to add a suffix to (e.g., Whirlpool model).

    • Copy the model number of the selected item.

    • Click on Plus Create Inventory Model.

  5. Create a New Model from Existing One:

    • Choose the appropriate color and group (e.g., Appliances).

    • Select the option to Copy.

    • Paste the copied model number into the search bar to find the existing model.

    • Confirm the status for the new model by selecting the appropriate status from the drop-down menu (e.g., "Used").

    • Click OK to proceed.

  6. Finalize the New Model:

    • Verify that the suffix (e.g., "USD") appears next to the model number.

    • Click Save to add the new model with the suffix to the inventory.

  7. Creating Additional Models:

    • To create another model with the same number, repeat the process by clicking Create Inventory Model and selecting Copy.

    • Search for the model number again.

    • If creating a new model with the same base number, ensure a unique identifier is added (e.g., appending a "1" to the model number).

Cautionary Notes

  • Always double-check that the Prompt on Copy feature is enabled to avoid confusion during the copying process.

  • Ensure that suffixes are unique to prevent inventory discrepancies.

  • When copying models, verify that the correct status is selected to maintain accurate inventory records.

Tips for Efficiency

  • Familiarize yourself with common model numbers and their statuses to speed up the search process.

  • Use consistent naming conventions for suffixes to enhance clarity and recognition.

  • Regularly review and update inventory statuses to keep the system organized and up-to-date.
