Managing Refund Permissions for Users
Objective
This SOP explains how to locate, review, and remove the refund-related permission for a user in the system. It also outlines what happens when the permission is removed and a user attempts to process a refund.
Key Steps
1. Understand the Refund Permission Setting 0:00
A new permission controls which users can process refunds.
This permission is enabled by default, so existing users will keep access unless it is changed.
Use this setting to restrict refund capability when needed.
2. Open the Users Menu and Select the User 0:14
Go to the main menu.
Click Users.
Locate the user whose refund permission you want to review or change.
Open that user’s profile and click Permissions.
3. Search for the Refund Permission 0:31
In the Search by Permission field, type Negative.
Look for the permission labeled Negative Payment Under Sales.
Confirm whether the permission is currently enabled for the user.
4. Remove the Refund Permission and Save Changes 0:43
If you want to remove refund access, uncheck Negative Payment Under Sales.
Click Save to apply the change.
The user will no longer be able to process refunds after the update is saved.
5. Verify the Result of Removing Access 0:55
If a user without this permission tries to refund a payment, the system will show that the payment failed.
Use this behavior to confirm the permission change was applied successfully.
Communicate the access change to the affected user or team as needed.
Cautionary Notes
The refund permission is enabled by default, so users may already have access before changes are made.
Be careful when removing this permission, as it will prevent the user from processing refunds.
After saving changes, test or confirm access only if appropriate for your workflow.
If a user receives a failed payment message during a refund attempt, check whether the permission was removed.
Tips for Efficiency
Use the Search by Permission field and type Negative to quickly find the correct setting.
Review permissions in batches if multiple users need updates.
Keep a record of which users have refund access for easier auditing.
Save immediately after making changes to avoid losing updates.
