Watchers on an order will now automatically receive notifications when a linked Purchase Order (PO) is updated. This keeps you continuously informed of the latest changes without needing to manually check order status, helping ensure accurate tracking, faster response times, and up-to-date visibility across the order lifecycle.
SOP: Configure and Use Watcher Notifications for Purchase Order Updates
Objective
This SOP explains how to add a Watcher to an order and ensure they receive automatic notifications when linked purchase order ETA, acknowledgment number, or acknowledgment date changes. It helps team members stay informed without manually checking for updates.
Key Steps
1. Understand what a Watcher is and what they receive 0:10
A Watcher is a user who can monitor someone else’s order without owning it.
Watchers can view the order alongside their own orders for easier tracking.
When enabled correctly, Watchers receive in-app notifications when linked purchase order details change.
Notification triggers include:
ETA changes
Acknowledgment number changes
Acknowledgment date changes
2. Add a Watcher to the order 0:26
Open the order you want to monitor.
Click the four-square icon on the order screen.
Select + Watcher.
Add the appropriate user as a Watcher for that order.
Confirm the Watcher has been added successfully before making purchase order updates.
3. Link a purchase order and update key fields 0:43
Ensure the order has a Purchase Order linked to it.
Update one or more of the following fields on the purchase order:
ETA
Acknowledgment Number
Acknowledgment Date
Save the changes so the system can generate the notification.
These updates will trigger a notification for the Watcher if settings are configured correctly.
4. Verify the Watcher receives the notification 1:11
Log in as the Watcher or check the Watcher’s notification area.
Open the bell icon notifications panel.
Confirm the system displays a notification indicating the purchase order was updated.
Verify the notification includes the specific field changes, such as:
ETA changed
Acknowledgment date changed
Acknowledgment number changed
Note: The notification appears in-app, not by email.
5. Enable purchase order notification settings 1:31
Go to the main menu.
Navigate to Purchase Orders.
Click Settings.
Under Notifications, enable:
Notify salesperson with order ETA changes
Notify salesperson with acknowledgment changes
Click Save Notification Settings to apply the configuration.
Confirm settings are saved before relying on Watcher notifications.
Cautionary Notes
Do not assume email notifications will be sent; this feature uses in-system notifications only.
Watcher notifications will only work if the correct purchase order notification settings are enabled.
Make sure the Watcher is added to the correct order before updating the purchase order.
If notifications do not appear, verify the purchase order was saved after the ETA or acknowledgment fields were changed.
Ensure users understand that Watchers can view the order among their own orders, but they are not the owner of the order.
Tips for Efficiency
Add Watchers early in the order process so they receive updates from the start.
Standardize which team members should be added as Watchers for specific order types.
