Handling NSF Checks Standard Operating Procedure

Objective

This SOP outlines the steps to effectively handle Non-Sufficient Funds (NSF) checks in the payment system.

Key Steps

Step 1: Reverse the Check 0:00

  • Access the customer's payment log or payment report.

  • Identify the check that needs to be reversed.

Step 2: Reopen the Order 0:16

  • If the order is closed, navigate to the order details.

  • Scroll to the bottom and click 'Reopen'.

  • Enter the reason as 'NSF reopen'.

Step 3: Reverse the Payment 0:33

  • Once the order is reopened, go to the payment history or payment log.

  • Select the 'Reverse Payment' option.

Step 4: Add NSF Charge 0:57

  • After reversing the payment, a balance will be due.

  • Add any applicable NSF charges to the order.

Step 5: Process New Payment 1:09

  • Accept a new method of payment (e.g., credit card or accounts receivable).

  • Ensure the balance owed is processed.

Step 6: Handling Accounts Receivable Payments 1:34

  • Access the payment report to find the accounts receivable payment.

Step 7: Reverse Accounts Receivable Payment 1:45

  • Select the payment and hit 'Reverse Payment'.

Step 8: Charge NSF on Invoice 2:03

  • To charge an NSF fee, create an invoice for the charge.

Step 9: Reopen Original Order for NSF Charge 2:14

  • Reopen the original order to add the NSF charge and push it to accounts receivable.
