In this video we are going talk about how you can manage your leads. This video will also talk about how to track activities or follow up conversations with your customers.
Overview
The Leads module is designed to help you track every interaction with potential customers throughout the sales process. Every conversation, email, meeting, and follow-up should be recorded so you have a complete history of customer interactions. This ensures anyone on your team can quickly understand the status of a lead and continue the sales process.
Accessing the Leads Report
Click Leads from the main navigation.
Select the Leads tab.
The Leads Report displays all current leads and their status.
Managing Your Leads
Leads should remain active until one of the following occurs:
The lead is converted into a Quote or Sales Order.
The customer indicates they are not moving forward, making the lead Unqualified.
Continue following up with each lead until one of these outcomes is reached.
Why Logging Activity Matters
Every customer interaction should be recorded, including:
Phone calls
In-store visits
Emails
Follow-up conversations
Notes from meetings
Keeping detailed records allows you to:
View the complete customer history.
Pick up where you left off during future conversations.
Allow other team members to continue working the lead without losing important information.
Method 1: Log Activity from the Leads Report
Locate the lead in the Leads Report.
Click the three-dot menu next to the lead.
Select Log Activity.
Choose the activity type (phone call, email, visit, etc.).
Enter your notes and any additional details.
If using a tablet or iPad, you can leave the activity window open while speaking with the customer and take notes throughout the conversation.
Click Save.
After saving, you can either:
Leave the lead in its current stage.
Move the lead to the next stage in your sales pipeline.
Note: Some pipeline stages may require a minimum lead score (for example, 60%) before the lead can be moved.
Method 2: Log Activity from Inside the Lead
Open the lead.
Scroll to the Activity section near the bottom.
Review previous activities and their dates.
Use the activity filters to view specific activity types if needed.
Click Log Activity.
Select the appropriate activity type.
Enter notes from the conversation.
Click Save.
You can then decide whether to keep the lead in its current stage or move it forward in the sales process.
Creating Follow-Up Reminders
Within the lead record you can also:
Create To-Do reminders.
Schedule future follow-up dates.
Add additional notes.
Update lead information as needed.
These reminders help ensure no lead is forgotten.
Moving Leads Through the Pipeline
Leads can be moved in several ways:
Drag and drop between columns (if enabled).
Use the stage dropdown menu.
Move the lead immediately after logging an activity.
As the lead progresses, it will appear in the appropriate pipeline column (for example, Active).
Lead Management Goals
The objective is to move every lead toward one of two outcomes:
Converted – The customer moves forward with a Quote or Sales Order.
Unqualified – The customer decides not to purchase at this time.
Consistent follow-up and detailed activity logging improve visibility into each opportunity and help ensure no potential sale is overlooked.
Best Practices
Record every customer interaction immediately.
Include clear, detailed notes.
Schedule follow-up reminders before closing the activity.
Update the lead stage as progress is made.
Continue working the lead until it is either converted or marked unqualified.
