If you charge customers a fee for using a credit card, setting up a credit card surcharge allows the system to automatically calculate the fee when a credit card payment is taken. In the following video, we’ll walk you through how to configure a credit card surcharge, choose whether to charge a flat amount or percentage, and allow the surcharge to be removed when needed.
SOP: Set Up and Manage Credit Card Surcharges in Point of Sale
Objective
This SOP explains how to configure credit card surcharge fees in Point of Sale and how to allow those fees to be removed when needed. Following these steps ensures surcharges are calculated correctly and saved properly for use at checkout.
Key Steps
1. Navigate to the Fees and Surcharges settings 0:23
Open Point of Sale.
Go to Settings.
Select Fees and Surcharges.
This is where credit card surcharge fees are configured.
2. Review the credit card fee setup 0:27
Locate the existing credit card fee setup.
Confirm the fee details are populated correctly.
Review the following fields:
Brand
Model
Classification
The classification should be set to Credit Card Surcharge Fee.
3. Confirm the correct fee classification 0:36
Verify that the fee is classified as Credit Card Surcharge Fee.
If the classification dropdown shows other options, keep the surcharge-specific classification selected.
This ensures the system treats the fee as a credit card surcharge.
4. Choose the surcharge amount type 0:45
Decide how the surcharge will be charged:
Flat amount
Percentage
Select the option that matches your business policy.
For percentage-based surcharges, enter the desired rate.
5. Set the surcharge percentage or amount 0:58
Enter the surcharge value.
In the example shown, the surcharge is set to 2%.
Confirm the amount is correct before saving.
This value will be used automatically when a credit card charge is processed.
6. Enable the option to remove the surcharge 1:05
If users need the ability to waive the surcharge, check Can be removed.
This allows the credit card surcharge to be removed when necessary.
Leave this unchecked if the surcharge should always apply.
7. Save the credit card fee settings 1:12
After confirming all settings, click Save credit card fees.
Verify the changes are saved successfully.
The surcharge setup is now active and ready for use at checkout.
Cautionary Notes
Ensure the classification is set correctly; an incorrect classification may prevent the surcharge from working as intended.
Double-check whether the surcharge should be a flat amount or a percentage before saving.
Only enable Can be removed if staff should have permission to waive the fee.
Always save changes after making updates, or the surcharge configuration will not take effect.
Tips for Efficiency
Use the prefilled credit card fee setup when available to save time.
Standardize surcharge settings across locations or registers to avoid inconsistent charges.
Confirm the surcharge rate with management before entering it into the system.
Test a sample credit card transaction after setup to verify the surcharge calculates correctly.
