Locked Serial Inventory Protection

SOP: Lock and Unlock Serial Inventory Items (Individually or in Bulk)

Objective

This SOP explains how to grant the correct permission, lock individual serial inventory items, unlock them when needed, and apply locks in bulk. The goal is to prevent allocation changes on locked inventory items and maintain tighter control over serial inventory status.

Key Steps

  1. Verify the Lock Permission is Available 0:18

  • Go to Users to manage permissions for either:

    • an individual user, or

    • an entire permission profile.

  • Use the search field to find the user or profile you want to update.

  • Open the user/profile Permissions section.

  • Search for Lock.

  • Confirm the Lock permission appears under Serial Inventory.

2. Grant the Serial Inventory Lock Permission 0:38

  • In the user or profile permissions list, locate Serial Inventory > Lock.

  • Enable the permission so the user can lock serial inventory items.

  • Save the permission changes.

  • Verify the permission is active before attempting to lock inventory items.

3. Lock an Individual Serial Inventory Item 1:14

  • Find the serial inventory item you want to protect.

  • Expand the item by clicking the black triangle.

  • Click Edit.

  • Turn on the Locked option.

  • Click Save.

  • Confirm the item now shows as locked.

4. Understand the Effect of Locking 1:27

  • Once locked, the item’s allocation status cannot be changed.

  • Use locking when you need to prevent further allocation edits.

  • Only users with the proper permission should perform this action.

5. Unlock an Individual Serial Inventory Item 1:35

  • Open the locked serial inventory item.

  • Expand it using the black triangle.

  • Click Edit.

  • Uncheck the Locked option.

  • Click Save.

  • Confirm the item is unlocked and can be edited again.

6. Lock Serial Inventory Items in Bulk 1:49

  • Click Bulk Edit to update multiple items at once.

  • Use the filters at the top to narrow the list.

  • Example filter approach:

    • Select a manufacturer or brand, such as Acer.

    • Filter for items received over the last 3 (as needed for your workflow).

  • Select the items you want to update.

  • Open the bulk edit tool and choose the Locked field.

  • Set the field to Locked.

  • Click Apply.

7. Confirm Bulk Lock Results 2:14

  • Apply the Locked filter to review the updated items.

  • Verify the selected serial inventory items now display as locked.

  • If any items were missed, repeat the bulk edit process for those records.

Cautionary Notes

  • Do not lock inventory without the correct permission; the Lock option will not be available otherwise.

  • Locked items cannot have allocation changes made until they are unlocked.

  • When using Bulk Edit, double-check filters before applying changes to avoid locking the wrong inventory.

  • Always confirm the final status after saving or applying bulk changes.

Tips for Efficiency

  • Use permission profiles when multiple users need the same access, instead of updating users one by one.

  • Use Bulk Edit for large inventory updates to save time.

  • Narrow results with filters before selecting items to reduce mistakes.

  • After locking or unlocking, use the relevant filter to quickly verify the final status.
