Editing GL Accounts

Objective

The objective of this SOP is to guide team members on how to edit General Ledger (GL) accounts effectively within the accounting system.

Key Steps

  1. Access Chart of Accounts: Navigate to the list or chart of accounts within the accounting system.

  2. Check Account Balance: Ensure that the account you wish to edit has an existing balance. Accounts without a balance cannot be edited.

  3. Locate Account: Search for the specific account you want to edit by entering the account number.

  4. Edit Account: Click on the pencil icon next to the account to bring up the editable fields.

  5. Editable Fields:

    • Account Name

    • Account Description

    • Account Subtype

  6. Non-Editable Fields:

    • Account Number (unique identifier)

    • Account Type (critical for balance calculations)

  7. Additional Departments: Check off checkboxes to add the account to other departments if needed.

  8. Save Changes: After making edits, save the changes to update the account details.

Cautionary Notes

  • Account number and account type are non-editable for unique identification and balance integrity reasons.

  • Editing account type can impact the balance calculation, especially if the account changes from debit to credit or vice versa.

  • Only accounts with existing balances can be edited.

Tips for Efficiency

  • Double-check the account balance before attempting to edit to ensure the account is eligible for modifications.

  • Utilize the ability to add accounts to multiple departments for better expense tracking.

  • Avoid editing critical fields like account number and type to maintain data integrity and accuracy.

  • Regularly review and update account details as needed to keep the chart of accounts accurate and up-to-date.
